Terms, Bookings and Cancellation Policy

These terms apply to clinic services booked with Nottingham Performance and Recovery Clinic Limited.

By booking, purchasing or attending a session, you agree to these terms.
1. Our services
We provide cryotherapy, hyperbaric oxygen therapy, red-light therapy and related performance, recovery and general-wellbeing services.
Information provided through our website, staff or marketing is general information and is not medical advice. Our services are not intended to diagnose, treat, cure or prevent any medical condition.
No particular outcome or result can be guaranteed.
Equipment sales and hire are subject to separate written sales or hire agreements and are not covered by these clinic-booking terms.
2. Suitability and health screening
Customers must provide accurate and complete information when completing health-screening, consent or suitability forms.
Please tell us about relevant medical conditions, medication, pregnancy, recent surgery, injury or any change in your health before attending.
We may refuse, postpone or stop a session if we reasonably believe it may be unsuitable or unsafe. We may recommend that you obtain advice or clearance from an appropriate healthcare professional before proceeding.
If we decide before a session that a treatment is unsuitable, we will offer an appropriate refund, credit or alternative where applicable.
3. Bookings and payment
Appointments are subject to availability and are only confirmed when accepted by us.
Payment may be required when booking. Any outstanding balance must be paid before the session unless we have agreed otherwise.
Customers must check their booking confirmation and tell us promptly if any information is incorrect.
Prices are shown in pounds sterling and include applicable taxes unless stated otherwise.
4. Changing or cancelling an appointment
You may cancel or rearrange an appointment without charge by giving us at least 24 hours’ notice before its scheduled start time.
Cancellations should be made through the booking system or by contacting the clinic directly.
5. Late cancellations and missed appointments
If you cancel with less than 24 hours’ notice or do not attend:
- The full individual session price may remain payable; or
- One session will normally be deducted from your block booking.
This reflects the time reserved, staffing arrangements and the likelihood that the appointment cannot be offered to another customer at short notice.
We will take reasonable steps to reduce our loss, including offering the appointment to another customer where practicable. Any charge will not exceed the loss reasonably resulting from the cancellation.
We may waive or reduce a charge in exceptional circumstances at our discretion, but doing so on one occasion does not require us to do so again.
6. Late arrival
Please arrive with sufficient time to complete any required screening and preparation.
If you arrive late, we may need to shorten, rearrange or cancel the session to avoid delaying other customers. The full session price may remain payable where the reserved appointment cannot reasonably be used or resold.
7. Block bookings
Block bookings:
- Remain valid for 12 months from the purchase date.
- Must normally be used before their expiry date.
- Do not automatically extend because sessions have not been booked or used.
- May be transferred to another person, subject to our approval and completion of any required health screening.
- May be refunded as explained below.
Transferring a block does not extend its original expiry date.
8. Block-booking refunds
You may request a refund for unused sessions within a valid block booking.
Where some sessions have already been used, those sessions will be recalculated at the standard individual-session price that applied when the block was purchased. The remaining balance will then be refunded.
For example, a customer cannot retain the full block-booking discount for sessions already used while also receiving a refund for the unused portion.
Refunds will normally be returned to the original payment method. This does not affect your statutory consumer rights.
9. Expired block bookings
Unused sessions normally expire 12 months after purchase.
We may consider a reasonable extension in exceptional circumstances, including a significant medical issue preventing attendance. Supporting information may be requested.
Extensions are discretionary unless required by law.
10. If we cancel
We may occasionally need to cancel or rearrange an appointment because of equipment problems, staff availability, safety concerns or circumstances outside our reasonable control.
If we cancel, you may choose:
- A rearranged appointment;
- A session credit; or
- A refund for the affected session.
We are not responsible for avoidable travel, accommodation or other indirect costs, except where the law provides otherwise.
11. Online purchases and cancellation rights
Customers purchasing services online may have statutory cancellation rights under the Consumer Contracts Regulations.
Where you request a session within a statutory 14-day cancellation period, you are asking us to begin providing the service during that period. Once the service has been fully provided, your statutory right to cancel that completed service may end.
If you cancel after a service has begun but before it has been completed, we may charge a reasonable proportion for what has already been provided.
Nothing in these terms removes or reduces your statutory consumer rights.
12. Customer conduct and safety
Customers must:
- Follow reasonable safety and operating instructions.
- Treat staff and other customers respectfully.
- Not attend while under the influence of alcohol or recreational drugs.
- Stop immediately and inform a member of staff if they feel unwell or experience unusual discomfort.
- Use clinic equipment only as instructed.
We may refuse or stop a session where behaviour is unsafe, abusive, threatening or disruptive. A refund may not be provided where the customer’s conduct prevents the service from being delivered.
13. Personal belongings
Customers remain responsible for their personal belongings while visiting the clinic.
We are not responsible for loss or damage unless caused by our negligence or another matter for which liability cannot legally be excluded.
14. Our responsibility
We will provide our services with reasonable care and skill.
Nothing in these terms excludes or limits liability for:
- Death or personal injury caused by negligence.
- Fraud or fraudulent misrepresentation.
- Breach of statutory consumer rights.
- Any other liability that cannot legally be excluded.
We are not responsible for losses that were not reasonably foreseeable when the booking was made or for business losses incurred by someone booking as a consumer.
15. Website information
We take reasonable care to keep treatment information, prices and availability accurate. Occasionally, information may contain an error or become outdated.
If a clear pricing or booking error occurs, we will contact you and give you the option to proceed on the corrected basis or receive a refund.
16. Privacy
We process personal and health information in accordance with our Privacy Policy.
Relevant health information may be required to assess suitability and safety. If necessary information is withheld, we may be unable to provide the requested service.
17. Complaints
Please contact us promptly if you are unhappy with a service so that we have an opportunity to investigate and put matters right.
Complaints can be submitted through the Contact page on our website or sent to our registered office.
18. Changes to these terms
We may update these terms when our services, prices, systems or legal obligations change.
The terms applying to a booking will normally be those available when the booking or purchase was made.
19. Governing law
These terms are governed by the law of England and Wales.
Customers living elsewhere in the United Kingdom retain any mandatory rights provided by the law applying where they live.
